Executive assistant - cdd 12 months - luxembourg

For my client, a big international commercial group located in the heart of the city, I am looking for an Executive Secretary on a fixed term contract starting November or December 2017 for a period of 10-12 months

Job description:

* Assisting the managing director in his day-to-day activities;
* Coordination with colleagues from other group offices;
* Making business trip arrangements including airline and hotel bookings and car transfers; preparation of expense reports;
* Being responsible for the smooth running of the office i.e. ordering office supplies, maintaining office & service provider contracts, regular contact with property manager;
* Managing phone calls, correspondence and daily courier in and out;
* Being in charge of scanning and filing of administrative/financial documents;
* Preparing payment instructions to banks;
* Preparing end of month reports to head office;
* Follow-up of staff holidays and sickness leaves;
* Assisting the team with any ad hoc requests;
* Back-up of the company secretarial officer.

Candidates profile:

* Around 10 years of professional experience;
* Proficiency in MS Office; word, excel, outlook;
* Fluent English and French skills (written and spoken) is a must;
* Good communication skills;
* Discrete, rigorous and well-organised.
